A quick answer
Business includes five seats, invitations and roles for editing or viewing and downloading. Use those accounts to review your drafts. Record feedback and final approval outside the Studio through your agreed team process.
Five team seats
Invite the people involved to your shared workspace.
Access for the task
Separate editing access from viewing and downloading.
Record the decision
Keep the approval with the reviewed file in your team process.
How to approach it
Invite the team
Invite the people involved to your Business workspace.
Choose roles
Give editing access only to people who need to change drafts.
Review one version
Check text, faces, branding and image permissions in the same draft.
Record the decision
Keep final approval outside the Studio and use the exact file that was reviewed.
Which role fits the review?
Someone who only needs to view and download images does not need editing access. A role with editing permission is required to change a draft.
An additional account does not determine who is responsible for publication. Agree on that responsibility within the team.
Make the approval unambiguous
Give the exported file a distinct name. Record which version was reviewed, who approved it and whether changes are still needed.
Roles and invitations do not provide a saved approval history. Keep feedback and decisions in your existing team process. Review the new version again after a revision.
